A QA Manager's Checklist for Buying CPAP Machines, Spare Parts, and Patient Lifts

I’m a quality and compliance manager at a medical device distributor. I review roughly 200 unique SKUs a year before they reach customers. In 2024, I rejected 6% of first deliveries—mostly for damaged sterile packaging, not broken devices. Over four years in this role, the biggest risk I see isn’t the device itself. It’s the small part nobody checked.

This checklist is the one I use when a purchase order includes a ResMed CPAP machine deal, an AirSense 10 air outlet adapter replacement, a manual resuscitator with a sterile barrier system, or a patient lift. It’s not a replacement for your biomed team. It’s a starting point.

Use this if you’re about to buy any of the above and need a written acceptance plan. There are seven steps. Step 5 is the one most facilities skip.

Step 1: Confirm the exact model and market variant before you compare prices

Before you shop deals on ResMed CPAP machine listings, find the exact model code. The AirSense 10 has multiple regional variants. A unit for one market may have a different power supply, modem frequency, and even menu software. I want to say the rate of mismatched units in one 2023 order was around 2%, but don’t quote me on that. The problem was real. Seeing EU-spec units side by side with US-spec units made me realize why the model number matters more than the price.

What I mean is, a discounted machine isn’t a deal if your biomed team can’t support it. Check the label on the device. It shows the model, serial number, and manufacturing date. If the seller says “it’s the same thing,” move on. (Should mention: we still had to eat the return freight on that mismatched order.)

Step 2: Order the ResMed AirSense 10 air outlet adapter replacement before you need it

The air outlet adapter is the small plastic port on the back of the AirSense 10 where the hose connects. It cracks if someone over-tightens the tube or drops the device. A cracked adapter means air leaks, louder operation, and almost always a tension call at 2 AM. Check the adapter first. Period.

What most people don’t realize is that the replacement part must match your device version. Some units have a non-heated air outlet; others support the ClimateLineAir tube with a different connector. Use the ResMed AirSense 10 user guide or service manual to find the right part number. Stock at least one adapter for every ten devices you manage. The surprise wasn’t the cost of the adapter. It was the cost of a nurse discovering a leaking port with no spare part in the building.

Step 3: Make “deal” mean “new, sealed, traceable”

I have mixed feelings about CPAP deals. On one hand, budgets are tight. On the other, a non-traceable device is a liability. A deal on a ResMed CPAP machine is only a deal if new, sealed, traceable—in that order.

  • New and sealed in original packaging
  • Serial number is legible and matches the box
  • Seller is an authorized distributor or can show chain of custody
  • Warranty is valid in your country

Everything I’d read about online auctions said they offer the lowest price. In practice, one “open box” unit cost us five hours of verification, a replacement tube, and return shipping. The sticker price was lower. The total cost wasn’t.

For US buyers, ask for the 510(k) number and search it in FDA’s public database (as of early 2025, that database is still the quickest check). For CE-marked devices, ask for the Declaration of Conformity. And if the seller manufactures or repackages anything, ask for their ISO 13485 certificate. If a distributor can’t produce any of these, they’re not a distributor.

Step 4: Inspect the sterile barrier system on manual resuscitators

If your order includes a single-use manual resuscitator with a sterile barrier system, make sure the barrier is intact. The sterile barrier system is the packaging that keeps the device sterile after it’s been sterilized. It is not the cardboard shipping box. If the pouch has a pinhole, the device is contaminated. It doesn’t matter how clean the bag looks.

Check the lot number and expiration date printed on the sterile barrier. Record them in your inventory system. Reference: ISO 11607-1 covers packaging for terminally sterilized medical devices. This is one of those places where “probably fine” is not a quality procedure.

Also confirm the resuscitator has a standard 15 mm/22 mm patient connector. Reference: ISO 5356-1 defines those connector dimensions for breathing systems. If the connector is odd, no sterile barrier will save you in an emergency.

Step 5: Train on the patient lift and resuscitator before you store them

Here’s the step everyone skips. If the order includes a patient lift, don’t just put it in the supply room. Someone needs to know how to use it safely. The basic sequence for a patient lift is: position the base around the bed, lower the boom, attach the sling in the order on the label, raise just enough to clear, move the patient, lower gently, and release the sling. Then check the emergency lower function. That’s not a comprehensive training—it’s the minimum acceptance test.

For the manual resuscitator, verify that the staff member can check the mask seal, bag recoil, and pop-off valve. I should add that this step is not a substitute for clinical competency training. But as a quality manager, I won’t sign off on equipment unless someone on the floor can show me the basics.

I have a bias here: the vendor who says “this isn’t our strength—here’s who does it better” earned my trust for everything else. I’d rather work with a specialist who knows their limits than a generalist who overpromises. That applies to us too. A patient lift is not a ResMed core product. It’s not my field. So if you’re asking “how to use a patient lift” in a purchase order, the right move is to bring in a mobility equipment specialist.

Step 6: Test one unit from every lot before accepting the shipment

Don’t count boxes. Open at least one unit per lot and test it. For the CPAP, run a self-test and check the connection at the air outlet adapter. For the patient lift, complete a full raise/lower cycle. For the manual resuscitator, inspect the sterile barrier and squeeze the bag to confirm valve movement. Oh, and do this before you accept the shipment—once you sign, the vendor’s obligation gets weaker.

If you don’t have a biomed team, write “post-delivery test required” into the purchase order. That gives you the right to reject a bad lot after arrival.

Step 7: Put your boundaries in writing

Quality isn’t about saying yes to everything. It’s about knowing what you can verify and being honest about what you can’t.

I can verify packaging, part numbers, and documentation. I can verify that the sterile barrier is sealed. I can verify the serial number and the warranty. I cannot tell you whether a CPAP is better than surgery for a particular patient, and I should not try. I also won’t pretend to know which patient lift model is best for your patient population. That’s outside my expertise.

When a supplier tells you “we do everything,” ask for their quality manual. Then check whether they’ve ever rejected a substandard batch. The vendors who pass the quality gate are the ones who can say “that’s not what we do.”

Common mistakes after the order arrives

Four errors show up again and again: buying the deal before checking the model; not stocking the cheap adapter; ignoring the sterile barrier expiration date; and assuming everyone knows how to use a lift. Avoid those and you’ll be ahead of most facilities.
